Getting Started

Carton components

Carton components may vary from one country to another.
Save all packing materials and the carton in case for any reason you must ship your machine.

An interface cable is not a standard accessory. You need to purchase the proper interface cable for the interface you want to use (USB or network).

USB cable

  • Please make sure you use a USB 2.0 cable that is no longer than 2 metres long (6 feet).
  • Your DCP has a USB interface that is compatible with the USB 2.0 specification.
  • DO NOT connect the interface cable at this time.
    Connecting the interface cable is done during the software installation process.
    When you use a USB cable, make sure you connect it to the USB port of your computer and not to a USB port on a keyboard or a non-powered USB hub.

Network cable (DCP-540CN only)

  • Use a straight-through Category5 (or greater) twisted-pair cable for 10BASE-T or 100BASE-TX Fast Ethernet Network.

Setting Up the Machine

Removing the protective parts

  1. Remove the protective tape and film covering the scanner glass.

Improper Setup
DO NOT connect the interface cable.
Connecting the interface cable is done during the software installation process.

Loading paper

You can load up to 100 sheets of 80 g/m 2 (20 lb) paper.
For details, see Acceptable paper and other
media in the User's Guide.

  1. Pull the paper tray completely out of the machine and lift the output paper tray cover (1).
  2. Press and slide the paper side guides (1) and paper length guide (2) to fit the paper size.
  3. Fan the stack of paper well to avoid paper jams and misfeeds.
  4. Gently put the paper into the paper tray print side down and top edge first.
    Check that the paper is flat in the tray.
  5. Gently adjust the paper side guides with both hands and the paper length guide to fit the paper.
    Make sure that the paper guides touch the edges of the paper.

    warning Note: Be careful that you do not push the paper in too far; it may lift at the back of the tray and cause paper feed problems.
  6. Close the output paper tray cover.
  7. Slowly push the paper tray completely into the machine.
  8. While holding the paper tray in place, pull out the paper support ( ) until it clicks, and then unfold the paper support flap ( ).

    warning Note: Do not use the paper support flap for Legal paper.
    warning Note: You can use the photo paper tray which has been assembled on the top of the paper tray to print on photo 10×15 cm (4×6 in.) and photo L size paper. For details, see Loading envelopes and post cards in the User's Guide.

Connecting the power cord

  1. Connect the power cord.

Improper Setup
DO NOT connect the interface cable.
Connecting the interface cable is done during the software installation process.


The machine must be fitted with an earthed plug.

warning Note: The control panel warning LED will stay on until you have installed the ink cartridges.

Choosing your language

  1. After connecting the power cord, the LCD shows:

    Press or to choose your language and press OK.
  2. Choose Yes or No and press OK.
  3. If your language is chosen, press OK.

If you have set the language wrongly, you can change the language after setting the date and time. (For details, see changing LCD language)

Installing the ink cartridges


If ink gets in your eyes, wash them out with water at once, and if irritation occurs consult a doctor.

  1. The LCD shows:

    warning Note: Make sure that the power is turned on.
  2. Open the ink cartridge cover (1).
  3. Pull all the lock release levers down and remove the yellow protective part (1).


    warning Note: Do not throw away the yellow protective part. You will need it if you transport the machine.
  4. Take out the ink cartridge.
  5. Carefully remove the protective yellow cap (1).

Improper Setup
DO NOT touch the area shown in the illustration below.

warning Note: If the protective yellow cap comes off when you open the bag, the cartridge will not be damaged.

  1. Install each ink cartridge in the direction of the arrow on the label.
    Take care to match the colour of the lock release lever (1) with the cartridge colour (2), as shown in the diagram below.

  2. Lift each lock release lever and push it until it clicks, and then close the ink cartridge cover.

    warning Note: If the LCD prompts you to re-insert the ink cartridge correctly, after you install the ink cartridges, check that the ink cartridges are installed properly.

The machine will clean the ink tube system for use for the first time. This process will occur only once, the first time ink cartridges are installed. The cleaning process will last approximately four minutes. The LCD shows:

  • DO NOT take out ink cartridges if you do not need to replace them. If you do so, it may reduce the ink quantity and the machine will not know the quantity of ink left in the cartridge.
  • DO NOT shake the ink cartridges. If ink stains your skin or clothing, wash with soap or detergent at once.
  • DO NOT repeatedly insert and remove the cartridges. If you do so, ink may seep out of the cartridge.
  • If you mix the colours by installing an ink cartridge in the wrong position, clean the print head several times after correcting the cartridge installation. (See Cleaning the print head)
  • Once you open an ink cartridge, install it in the machine and use it up within six months of installation. Use unopened ink cartridges by the expiration date written on the cartridge package.
  • DO NOT dismantle or tamper with the ink cartridge, this can cause the ink to leak out of the cartridge.
  • Brother multifunction machines are designed to work with ink of a particular specification and will work to a level of optimum performance when used with genuine Brother branded ink cartridges. Brother cannot guarantee this optimum performance if ink or ink cartridges of other specifications are used. Brother does not therefore recommend the use of cartridges other than genuine Brother branded cartridges with this machine or the refilling of empty cartridges with ink from other sources. If damage is caused to the print head or other parts of this machine as a result of using incompatible products with this machine, any repairs required as a result may not be covered by the warranty.
  1. After the cleaning cycle is finished, the LCD shows:
  2. Make sure paper is loaded in the paper tray. Press Colour Start.
    The machine starts printing the Print Quality Check Sheet (only during initial ink cartridge installation).
  3. Check the quality of the four colour blocks on the sheet. (black/ yellow/ cyan/ magenta)

    Improper Setup
    Avoid touching the printed surface of the paper immediately after printing, the surface may not be completely dry and may stain your fingers.
  4. The LCD shows:
  5. Do one of the following:
    • If all lines are clear and visible, press (Yes) to finish the quality check.
    • If you can see missing short lines, press (No) and go to step 6.
  6. The LCD asks you if the print quality is OK for black and colour. Press (Yes) or (No).

    After pressing (Yes) or (No) for both black and colour, the LCD shows:
  7. Press (Yes), the machine will then start cleaning the colours.
  8. After cleaning is finished, press Colour Start. The machine starts printing the Print Quality Check Sheet again and goes back to step 3.

Setting the LCD contrast

You can adjust the LCD contrast for a sharper and more vivid display. If you are having difficulty reading the LCD, try changing the contrast setting.

  1. Press Menu.
  2. Press or to choose General Setup.
    Press OK.
  3. Press or to choose LCD Settings.
    Press OK.
  4. Press or to choose LCD Contrast.
    Press OK.
  5. Press or to choose Light, Med or Dark.
    Press OK.
  6. Press Stop/Exit.

warning Note: You can also adjust the angle of the LCD display by lifting it.

Setting the date and time

Setting the date and time allows the machine to clean the print head regularly and maintain optimum print quality. It also allows the machine to name files created when using the Scan to Card feature.

  1. Press Menu.
  2. Press or to choose Initial Setup, and then press OK.
  3. Press or to choose Date/Time, and then press OK.
  4. Press repeatedly to enter the last two digits of the year, and then press OK.

    (e.g. Enter 0 6 for 2006.)
  5. Press repeatedly to enter the two digits for the month, and then press OK.

    (e.g. Enter 0 3 for March.)
  6. Press repeatedly to enter the two digits for the day, and then press OK.

    (e.g. Enter 0 1 for the first of the month.)
  7. Press repeatedly to enter the two digits for the hour in 24-hour format, and then press to next.

    (e.g. Enter 1 5 for 3:00 P.M.)
  8. Press repeatedly to enter the two digits for the hour in 24-hour format, and then press OK.

    (e.g. Enter 1 5, 2 5 for 3:25 P.M.)
    warning Note: You can increase or decrease the number rapidly by holding down or .
  9. Press Stop/Exit.

warning Note: If you want to start again, press Stop/Exit to go back to Step 1.

To confirm the current date and time, print out the Users Settings Report. (See Printing reports in the User's Guide.)

Now go to → Supplied CD-ROM 'MFL-Pro Suite' to install the drivers.

For USB Interface Users

Make sure that you have finished the instructions from Step 1 Setting Up the Machine.

warning Note:

  • Please close any applications running before installing MFL-Pro Suite.
  • Make sure there are no memory cards put into the media drive of the machine.
  1. Disconnect the machine from the power socket and from your computer, if you already connected an interface cable.
    For USB Interface Users - Windows® - Step 1
  2. Turn on your PC.
    (For Windows® 2000 Professional/XP/ XP Professional x64 Edition, you must be logged on with Administrator rights.)
  3. Put the supplied CD-ROM into your CD-ROM drive. If the model name screen appears, choose your machine. If the language screen appears, choose your language.
  4. The CD-ROM main menu will appear. Click
    Install MFL-Pro Suite.
    For USB Interface Users - Windows® - Step 2

warning Note:

  • If this window does not appear, use Windows®Explorer to run the setup.exe program from the root folder of the Brother CD-ROM.
  • If you are using Windows® 2000 Professional and have not installed service pack 3 (SP3) or greater:
    To access the PhotoCapture Center™ features from your computer you may have to install a Windows® 2000 update first.
    The Windows® 2000 update is included with the MFL-Pro Suite installer.
    To install the update, follow the steps below:
    1. Click OK to start installation of the Windows® updates.
      For USB Interface Users - Windows® - Step 3
    2. When instructed, click OK to restart your computer.
    3. After the computer restarts, the installation of MFL-Pro Suite will automatically continue. If the installation does not continue automatically, open the main menu again by ejecting and then reinserting the CD-ROM disc or double-click the setup.exe program from the root folder, and continue from Step 4 to install the MFL-Pro Suite.
  1. After reading and accepting the ScanSoft® PaperPort® SE License Agreement, click Yes.
    For USB Interface Users - Windows® - Step 4
  2. The installation of PaperPort® SE will automatically start and is followed by the installation of MFL-Pro Suite.
  3. When the Brother MFL-Pro Suite Software License Agreement window appears, click Yes if you agree to the Software License Agreement.

  4. Choose Standard (DCP-330C) or Local Connection (DCP-540CN), and then click Next. The installation continues.

  5. When this screen appears, go to the next step.

  6. Using both hands, use the plastic tabs on both sides of the machine to lift the scanner cover until it locks securely into the open position.
  7. Connect the USB cable to the USB socket marked with a symbol. You will find the USB socket inside the machine on the right as shown below.
  8. Carefully guide the USB cable into the trench as shown below, following the trench around and toward the back of the machine.

  • DO NOT connect the machine to a USB port on a keyboard or a non-powered USB hub. Brother recommends that you connect the machine directly to your computer.
  • Make sure that the cable does not restrict the cover from closing, or an error may occur.
  1. Lift the scanner cover to release the lock ( ). Gently push the scanner cover support down ( ) and close the scanner cover ( ).
  2. Turn on the machine by connecting the power cord.

    The installation of the Brother drivers will automatically start. The installation screens appear one after another. Please wait, it will take a few seconds for all screens to appear.
    Improper Setup
    DO NOT try to cancel any of the screens during this installation.
  3. When the On-Line Registration screen is displayed, make your selection and follow the on-screen instructions.

  4. Click Finish to restart your computer. (After restarting the computer, for Windows® 2000 Professional/XP/XP Professional x64 Edition, you must be logged on with Administrator rights.)

warning Note: After restarting the computer, the Installation Diagnostics will run automatically. If the installation is unsuccessful, the installation results window will be shown. If the Diagnostics shows a failure, please follow the on-screen instruction or read on-line help and FAQs in Start/All Programs (Programs)/Brother/ DCP-XXXX.

The MFL-Pro Suite has been installed and the installation is now complete.

  4. Carefully guide the network cable into the trench as shown below, following the trench around and toward the back of the machine. Then, connect the cable to your network.

    warning Note: If both USB and LAN cables are being used, guide both cables through the trench with one on top of the other.
  5. Lift the scanner cover to release the lock ( ). Gently push the scanner cover support down ( ) and close the scanner cover ( ).
  6. Turn on the machine by connecting the power cord.
  7. Turn on your computer.
    (For Windows® 2000 Professional/XP/ XP Professional x64 Edition, you must be logged on with Administrator rights.) Close any applications running before installing the MFL-Pro Suite.
    warning Note: Before installation, if you are using Personal Firewall software, disable it. Once you are sure that you can print after the installation, restart your Personal Firewall software.
  8. Put the supplied CD-ROM into your CD-ROM drive. If the model name screen appears, choose your machine. If the language screen appears, choose your language.
  9. The CD-ROM main menu will appear. Click Install MFL-Pro Suite.
    For Network Interface Users - Windows® - Step 2

warning Note:

  • If this window does not appear, use Windows®Explorer to run the setup.exe program from the root folder of the Brother CD-ROM.
  • If you see the following screen, click OK to install the Windows® updates. After the updates are installed your PC may restart. Then the installation will automatically continue.

  7. If the machine is not yet configured for use on your network, the following screen appears.

    Click OK.
    The Configure IP Address window will appear. Enter an IP address for your machine that is suitable for your network by following the on-screen instructions.
  8. When the Brother and ScanSoft On-Line
    Registration screen is displayed, make your selection and follow the on-screen instructions.

  9. Click Finish to restart your computer.

warning Note: For Mac OS® X 10.2.0 to 10.2.3 users, upgrade to Mac OS® X 10.2.4 or greater. (For the latest information for Mac OS® X, visit http://solutions.brother.com)

  1. Using both hands, use the plastic tabs on both sides of the machine to lift the scanner cover until it locks securely into the open position.
  2. Connect the USB cable to the USB socket marked with a symbol. You will find the USB socket inside the machine on the right as shown below.
  3. Carefully guide the USB cable into the trench as shown below, following the trench around and toward the back of the machine.
    For USB Interface Users - Macintosh® - Step 1
    Improper Setup

  3. Put the supplied CD-ROM into your CD-ROM drive.
  4. Double-click the Start Here OSX icon to install.
    Follow the on-screen instructions.
    For USB Interface Users - Macintosh® - Step 2
    warning Note: Please wait, it will take a few seconds for the software to install. After the installation, the computer will restart automatically.
  5. The Brother software will search for the Brother device. During this time the following screen will appear.
  6. When this screen appears, click OK.
    For USB Interface Users - Macintosh® - Step 3
    For Mac OS® X 10.3.x or greater users:
    The MFL-Pro Suite, Brother printer driver, scanner driver and Brother ControlCenter2 have been installed and the installation is now complete. Go to step 14.
  7. For Mac OS® X 10.2.4 to 10.2.8 users:
    Click Add.
  8. Choose USB.
  9. Choose DCP-XXXX (where XXXX is your model name), and then click Add.
  10. Click Print Center, then Quit Print Center.

    The MFL-Pro Suite, Brother printer driver, scanner driver and Brother
    ControlCenter2 have been installed and the installation is now complete.
  11. To install Presto!® PageManager®, click the Presto! PageManager icon and follow the on-screen instructions.
    For USB Interface Users - Macintosh® - Step 4

warning Note: When Presto!®PageManager® is installed OCR capability is added to the Brother ControlCenter2. You can easily scan, share and organize photos and documents using Presto!®PageManager®.

Presto! ® PageManager ® has been installed and the installation is now complete.

For Network Interface Users (DCP-540CN only)

(For Mac OS® X 10.2.4 or greater)


Make sure that you have finished the instructions from Step 1 Setting Up the Machine.

  1. Using both hands, use the plastic tabs on both sides of the machine to lift the scanner cover until it locks securely into the open position.
  2. Connect the network cable to the LAN socket marked with a symbol. You will find the LAN socket inside the machine on the left as shown below.
  3. Carefully guide the network cable to the trench as shown below, following the trench around and toward the back of the machine.
    Then, connect the cable to your network.
    For Network Interface Users - Macintosh® - Step 1
    Improper Setup
    Make sure that the cable does not restrict the cover from closing, or an error may occur.
    warning Note: If both USB and LAN cables are being used, guide both cables through the trench with one on top of the other.
  4. Lift the scanner cover to release the lock ( ). Gently push the scanner cover support down ( ) and close the scanner cover ( ).

    warning Note: Make sure that the machine is turned on by connecting the power cord.
  5. Turn on your Macintosh®.
  6. Put the supplied CD-ROM into your CD-ROM drive.
  7. Double-click the Start Here OSX icon to install.
    Follow the on-screen instructions.
    For Network Interface Users - Macintosh® - Step 2
    Please wait, it will take a few seconds for the software to install. After the installation, the computer will restart automatically.
    warning Note:
    • If the machine is configured for your network, choose the machine from the list, and then click OK. This window will not appear if there is only one machine connected on the network, it will be chosen automatically. Go to step 8.
      For Network Interface Users - Macintosh® - Step 3
    • If this screen appears click OK.
      For Network Interface Users - Macintosh® - Step 4
    • Enter a name for your Macintosh® in Display Name up to 15 characters long and click OK.
      For Network Interface Users - Macintosh® - Step 5
    • If you want to use the machine's Scan key to scan over the network you must check the Register your computer with the "Scan To" functions at the machine box.
    • The name you enter will appear on the machine's LCD when you press the Scan key and choose a scan option. (For more information, see NetworkScanning in the Software User's Guide on the CD-ROM.)
  8. The Brother software will search for the Brother device. During this time the following screen will appear.
  9. Click Add.

    warning Note: For Mac OS ® X 10.4 users, go to step 12.
  10. For Mac OS® X 10.2.4 to 10.3.x users:
    Make the selection shown below.
  11. Choose DCP-XXXX (where XXXX is your model name), and then click Add.

  12. For Mac OS® X 10.4 users:
    Choose DCP-XXXX (where XXXX is your model name), and then click Add.
  13. Click Printer Setup Utility, then Quit Printer Setup Utility.

    warning Note: For Mac OS® X 10.2.x users, click Print Center, then Quit Print Center.
    The MFL-Pro Suite, Brother printer driver, scanner driver and Brother ControlCenter2 have been installed and the installation is now complete.
  14. To install Presto!® PageManager®, click the Presto! PageManager icon and follow the on-screen instructions.

warning Note: When Presto! ® PageManager ® is installed OCR capability is added to the Brother ControlCenter2.
You can easily scan, share and organize photos and documents using Presto!
® PageManager®.

BRAdmin Professional configuration utility (For Windows® users)

The BRAdmin Professional utility for Windows® is designed to manage your Brother network connected devices such as network-ready Multifunction devices and /or network-ready printers in a Local Area Network (LAN) environment. BRAdmin Professional can also be used to manage devices from other manufacturers whose products support SNMP (Simple Network Management Protocol). For more information on BRAdmin Professional, visit us at http://solutions.brother.com.

Installing the BRAdmin Professional configuration utility

  1. Put the supplied CD-ROM into your CD-ROM drive. The opening screen will appear automatically. Follow the on-screen instructions.
  2. Click Install Other Drivers or Utilities on the menu screen.

Setting your IP address, Subnet Mask and Gateway using BRAdmin Professional

  1. Start BRAdmin Professional, and choose TCP/IP.

  2. Click Devices, then Search Active Devices. BRAdmin searches for new devices automatically.

  3. Double-click the new device.

  4. Enter the IP Address, Subnet Mask and Gateway, and then click OK.

  5. The address information will be saved to the machine.
    warning Note: You can use the BRAdmin Professional utility to set a password. (See the Network User's Guide on the CD-ROM.)

BRAdmin Light configuration utility (For Mac OS® X users)

The Brother BRAdmin Light software is a Java™ application that is designed for the Apple Mac OS® X environment. It supports some of the features of the Windows BRAdmin Professional software. For example, using the BRAdmin Light software, you can change some network settings on Brother's network ready printers and multifunction devices.

The BRAdmin Light software will be installed automatically when you install the MFL-Pro Suite. Please refer to installing the driver and software in this Quick Setup Guide if you have not yet installed the MFL-Pro Suite. For more information on BRAdmin Light, visit us at http://solutions.brother.com.

Setting your IP address, Subnet Mask and Gateway using BRAdmin Light

warning Note: If you have a DHCP/BOOTP/RARP server in your network, you don't have to do the following operation. The print server will automatically obtain its own IP address. Make sure that version 1.4.1_07 or later of Java™ client software is installed on your computer.

  1. Double-click the Macintosh HD icon on your desktop.
  2. Choose Library, Printers, Brother and then Utilities.

  3. Double-click the BRAdmin Light.jar file. Run the BRAdmin Light software. BRAdmin Light searches new devices automatically.

  4. Double-click the new device.
  5. Enter the IP Address, Subnet Mask and Gateway, and then click OK.
  6. The address information will be saved to the machine.
