PART NAMES AND FUNCTIONS Overall View The following illustration shows the overall configuration of the AR-275 model with the optional reversing single pass feeder (RSPF) (AR-RP3), job separator tray kit (AR-TR3), and optional facsimile expansion key (AR-FX4) installed. TURNING THE POWER ON AND OFF Use the power switch on the left side of the front cover to turn the power on and off. Turning On the Power After turning on the power, the machine performs a system check and then reverts to the mode that was selected when the power was turned off.
TURNING THE POWER ON AND OFF Selecting Fax Mode When the Fax mode is selected, the mode key light illuminates. To select Fax mode, press the FAX key. Press the FAX key. The Fax mode light illuminates, and the initial screen of Fax mode appears. Notes Automatic fax reception and several other fax functions can operate in Copy mode (see below).
INITIALLY REQUIRED PROGRAMMING AND SETTINGS After installation and before using the machine as a fax, complete the following settings. Program Your Own Number and Name Program the fax number and name of the user of the machine. The programmed name and number appear at the top of each fax page you send. The programmed number serves as a passcode number when you poll another machine (See page 86).
ACCOUNT AUDIT MODE When Account Audit mode is turned on, you can restrict use of the fax machine to specific departments (maximum of 21 departments), and the amount of time that each department uses the fax machine can be tracked. The Dept.Usage List can be printed out (See page 144) to show the usage time and pages transmitted by each department.
SETTING THE PAPER SIZE OF THE PAPER TRAYS The paper size of the paper trays is initially set to 8-1/2" x 11". A separate size can be set for each tray. A paper size cannot be set for the manual feed tray. Paper size selections are 11"...

ABOUT THE SPF If a SPF is installed, you can load multiple sheet originals (up to the sheet limit) in the SPF. The originals will be automatically scanned one-by-one into memory. As there is need to load each sheet manually, this saves times when faxing multi-page originals. If the optional RSPF is installed, two-sided originals can be automatically scanned into memory.
LOADING ORIGINALS Using the SPF Use the SPF to fax multi-page originals. Do not load originals that are different sizes even if the widths are the same. This may cause misfeeds. Up to 30 pages can be loaded in the SPF as long as the stack does not exceed the indicator line. Make sure that an original has not been left on the platen glass, and then adjust the original guides to the width of the original.
LOADING ORIGINALS Using the Platen Glass In addition to sheet originals, originals that cannot be loaded in the SPF such as books, originals that are glued together, and originals with cut-outs can be scanned from the platen glass. Open the SPF and place the original on the platen glass. Place the original face down.
SETTING THE ORIGINAL SIZE If you load a non-standard or special size original, set the original size. In addition to inch-based sizes, you can also select A4 and A4R sizes. Selecting an Inch-based Original Size Press the ORIGINAL SIZE key. Use the keys to select the original size and then press the OK key.
SELECTING THE RESOLUTION AND EXPOSURE The resolution and exposure can be adjusted to match the size and darkness of letters on the original, or for an original such as a photograph. The initial (default) settings are STANDARD resolution and AUTO exposure. The initial settings can be changed to any of the other available settings using the key operator program.
CONVENIENT DIALING FEATURES Auto Dialing This machine has auto-dial numbers to simplify the dialing process. By storing the fax number and name of destinations that you frequently use, you can call and send faxes to those destinations without having to dial the full number. (See page 32) To use an auto dial number, you must first store the fax number and name of the destination.
CONVENIENT DIALING FEATURES Redialing The machine retains the last fax or phone number dialed with the numeric keys. If you need to dial that number again, simply press the REDIAL key. If you pressed a numeric key while talking during the previous call, the REDIAL key may not dial the correct number.

Chapter 2 BASIC OPERATIONS This chapter explains basic fax operations such as sending and receiving faxes, and procedures for programming. Page SENDING A FAX ........28 Sending a Fax Using the SPF.
SENDING A FAX This procedure is for sending a fax by memory transmission (See page 31) when the receiving machine is in auto reception mode. Sending a Fax Using the SPF Use this method to scan and send one or more sheet originals (up to the sheet number limit). You can preset the original size, resolution, and exposure.
SENDING A FAX Error Correction Mode (ECM) Noise on the line can sometimes cause distortions in a transmitted fax image. When this happens, the ECM function automatically resends the part of the image that was distorted. When this function is turned on, transmission will take slightly longer than normal. In order for ECM to operate, the other machine must also have the ECM function.
SENDING A FAX Sending a Fax from the Platen Glass The platen glass can be used to transmit books, transparencies, and other special originals that cannot be loaded in the SPF. Place the original on the platen glass. (See page 22) Make sure that no originals remain in the SPF.
SENDING A FAX Memory Transmission Mode When a fax is sent in memory transmission mode, the machine calls the receiving machine and begins transmitting while the original is still being scanned into memory (Quick On-Line (See below)). The number of pages that can be held in memory varies depending on the original, sending conditions, and the amount of expansion memory installed in the machine.
SENDING A FAX Changing the Transmission Mode This machine has two transmission modes: memory transmission mode and direct transmission mode. To change modes, use the COMM. SETTING key. Check the transmission mode, and then press the COMM. SETTING key, select "TX", and press the OK key. Press the key to select the mode and then press the OK key.

SENDING A FAX Perform one of the following operations: [Using a rapid dialing or group key] (1) Press a rapid key (01 to 50). If you press a one touch key that has a sub-address stored, a sub-address transmission will be performed. If you are using a group key, first set the transmission mode to "Memory Transmission".

SENDING A FAX (3) Press the key until the name of the destination appears, and then press the OK key. You can press the # key to toggle between details on the selected destination and the destination list. In this case, press the key until the name of the destination appears.
SENDING A FAX After the original is scanned, change pages and then press the START key if you have another page to scan. Repeat this step until all pages have been scanned into memory. When the final page has been scanned, press the # key. The receiving machine is automatically dialed and transmission begins.

SENDING A FAX Enter the fax number of the receiving machine and then press the START key. You can also use auto dial numbers. If you are using the platen glass and have another page to scan, change pages and then press the START key.
CANCELING FAX TRANSMISSION/RECEPTION To cancel a current fax operation (a fax being sent from memory or a fax being received) or a transmission job stored in memory, follow the steps below. When canceled, the document data will be cleared from memory. Canceling scanning or direct transmission During transmission, press the CLEAR key.

CANCELING FAX TRANSMISSION/RECEPTION Canceling a Stored Transmission Job Press the JOB STATUS key. Select "TX/RX RESERVE" with the key and then press the OK key. Select the transmission job you wish to cancel with the key, and then press the CLEAR key. As you press the key, the stored transmission jobs appear one at a time.

CANCELING FAX TRANSMISSION/RECEPTION Notes You can check canceled jobs that were in recall mode in the Activity Report. "CANCEL" will appear in the "TYPE/NOTE" column of the report. The stored job display is as follows: Current status "WAITING" appears here if the job is a stored transmission job or a timer transmission.
RECEIVING A FAX In order to receive faxes, paper must be loaded in the paper tray. Load appropriate paper as explained in "SETTING THE PAPER SIZE OF THE PAPER TRAYS". The difference between vertically and horizontally oriented 8-1/2" x 11" and 8-1/2 x 11"R paper, and A4 and A4R paper, is automatically adjusted at the time of reception, so there is no need to load paper in both orientations.
RECEIVING A FAX Setting the Reception Mode The machine is initially set to auto reception. Follow the steps below to change the reception mode to manual, or to change the mode back to auto from manual. An extension phone must be connected to change the reception mode to manual, and the extension phone setting must be turned on with the key operator program.
RECEIVING A FAX Earlier Output of Received Data If a fax cannot be printed because the machine is out of the appropriate paper and another fax is subsequently received that can be printed, the subsequently received fax will be printed before the fax that cannot be printed.
RECEIVING A FAX When the optional Finisher (AR-FN5) is installed Received faxes are output to the top tray of the Finisher. Faxes cannot be output to the bottom tray. If desired, output can be changed to the center tray with the key operator program. (Copier manual) The top tray of the Finisher also has a sensor that detects when the tray is full.

RECEIVING A FAX Press the START key. Reception begins when the sending party initiates transmission. If an original is placed on the platen glass or in the SPF, fax transmission will begin. When reception ends, the machine makes a beep sound. The received fax is output to the center tray.
RECEIVING A FAX Substitute Reception to Memory If fax reception occurs when the machine is out of paper or out of toner, when a paper jam has occurred, or when Copy mode is being used, the fax will be received to memory. When printing becomes possible, the fax received to memory will be automatically printed out.
STORING, EDITING, AND CLEARING AUTO DIAL KEYS AND NUMBERS This machine includes an auto-dialing feature to make dialing easier. By programming frequently dialed numbers, you can call and send faxes to these locations by means of a simple dialing operation. The procedures for storing, editing, and clearing rapid dial numbers, Speed Dial numbers, and group keys are explained in this section.

STORING, EDITING, AND CLEARING AUTO DIAL KEYS AND NUMBERS Storing rapid dial numbers and Speed Dial numbers Storing a fax number in a rapid dialing allows you to dial that number by simply pressing the rapid key. A total of 50 rapid dial numbers are available, including group keys. Storing a fax number in a Speed Dial number allows you to dial that number by simply pressing the SPEED key, entering a 3-digit number (000 to 299), and pressing the START key.

If you press the OK key without entering a name, you will go to step 7. In this case, a destination name is automatically assigned.
STORING, EDITING, AND CLEARING AUTO DIAL KEYS AND NUMBERS Storing a group key You can store multiple destinations in a group key. This lets you dial all of those destinations by simply touching the group key, saving you the trouble of dialing multiple rapid dial numbers, Speed Dial numbers, and/or full fax numbers.

[Rapid dial numbers] (1) Press the desired rapid key(s) (01 to 50). If you press an incorrect key, press the CLEAR key and then press the correct key. [Speed Dial numbers] (1) Press the SPEED key and then enter the desired Speed Dial number (000 to 299) with the numeric keys.

ENTERING CHARACTERS This section explains how to enter and edit characters for names of rapid dial numbers, Speed Dial numbers, and group keys, as well as department names, program names, and search characters for the address list. ENTERING CHARACTERS Changing to Entry Mode Open the rapid key overlay to enter alphabetical characters. When the rapid key overlay is open When the rapid key overlay is open, characters can be entered. To toggle between upper case and lower case letters, press the SHIFT key.
ENTERING CHARACTERS Character Entry Keys To enter characters, use the character entry keys on the operation panel. The characters entered by each key and key functions are as follows. To switch between upper case letters and lower case letters, press the SHIFT key. Enter "T", "P" and "S" with the letter keys. The letters are stored and the cursor moves to the space after the letters.
ENTERING CHARACTERS Entering symbols Symbols are entered with the rapid key overlay closed. Press the SYMBOL key. Select the symbol that you wish to enter with the keys. To move to the next page, move the cursor to the bottom line and press the key.
ENTERING CHARACTERS Entering special characters Special characters are entered with the rapid key overlay opened. Press the SP key. Select the special character that you wish to enter with the keys. To move to the next page, move the cursor to the bottom line and press the key.
Chapter 3 CONVENIENT FUNCTIONS 1 ADVANCED COMMUNICATION METHODS This chapter explains features that are designed for specific purposes and circumstances. Please read those parts that are of interest to you. Page BROADCAST TRANSMISSION......70 Using Broadcast Transmission .
BROADCAST TRANSMISSION This feature is used to send a fax to multiple destinations in a single operation. The original to be transmitted is scanned into memory and then successively transmitted to the selected destinations. This feature is convenient for such purposes as distributing a report to company branches. Up to 200 destinations can be selected.
BROADCAST TRANSMISSION Using Broadcast Transmission Place the original on the platen glass or in the SPF, adjust the original size, resolution, and exposure settings as needed, and then follow the steps below. If the machine is in direct transmission mode, change to memory transmission mode. (See page 32) In Fax mode, press the BROADCAST key.
TIMER TRANSMISSION This function allows you to set up a fax transmission or polling operation to take place automatically at a specified time up to a week in advance. This allows you to take advantage of off-peak rates without having to be there when the operation is performed. Sending machine Receiving machine When the...
TIMER TRANSMISSION Setting Up a Timer Transmission Place the original on the platen glass or in the SPF, adjust the original size, resolution, and exposure settings as needed, and then follow the steps below. If the machine is in direct transmission mode, change to memory transmission mode. (See page 32) In Fax mode, press the SPECIAL FUNCTION key.
This function can only be used when the other machine is a Sharp machine that supports confidential transmission/reception. Check with the operator of the other machine to see if confidential transmission/reception is possible.
CONFIDENTIAL TRANSMISSION/RECEPTION Using the Confidential Function Sending a confidential fax Before sending a confidential fax, make sure the receiving machine supports the confidential function and has a confidential box and code programmed. Confidential transmission is not possible if the receiving machine does not have confidential boxes, or if a confidential box has not been programmed in the receiving machine.

CONFIDENTIAL TRANSMISSION/RECEPTION Enter the confidential code (4-digits) with the numeric keys. If the code is correct, the fax is printed. Notes If the code is not correct, you will return to step 4. Re-enter the code. If a fax comes in during printing: In auto reception mode: The fax is automatically received to memory and then automatically printed after the confidential fax is printed.
This function can only be used when the relay machine is a Sharp machine that supports the relay broadcast function. Ask the operator of the machine that you wish to use as a relay machine if a relay request is possible.
RELAY REQUEST TRANSMISSION Storing a Relay Group Before making a relay request, you must store the relay group (the fax numbers of the relay machine and the end receiving machines). RELAY REQUEST TRANSMISSION Press the key to select the type of dialing for entering end receiving machines, and then press the OK key. Enter the fax number of one of the end receiving machines with the numeric keys. Press the OK key and then repeat steps 8 and 9 to enter the fax numbers of the other end receiving machines.
RELAY REQUEST TRANSMISSION Using the Relay Request Function When making a relay request, only one relay group can be selected. Multiple relay groups cannot be simultaneously selected. In Fax mode, press the SPECIAL FUNCTION key. Press the key to select "SENDING OPTIONS" and then press the OK key.
POLLING The polling function allows your machine to call a machine that has a document stored in memory and make the machine automatically send the document. Polling can only be used when the other machine is a Super G3 or G3 machine that supports polling. Only one polling operation with a timer setting, including F-code polling, can be stored at a time.
The system number provides another means of gaining permission to poll a machine that has polling security. The system number can only be used when the other machine is a Sharp machine that supports ID/system numbers. Program a 4-digit number from 0000 to 9999 as a system number, and ask the operator of the other machine to store the same number as an ID number.

POLLING Enter the fax number of the other machine with the numeric keys, and then press the OK key. You can also use a rapid dialing, Speed Dial number, the Address List, or the REDIAL key to enter the number. If you press a group key, you will change to serial polling.
POLLING Using Memory Polling The memory polling function allows your machine to be polled by scanning a document into memory. When the other machine calls and polls your machine, the document is sent to that machine. This allows your machine to be polled even if an original is loaded in the machine for another purpose. Note that for polling, you cannot transmit an original that is placed on the platen glass or in the document feeder tray.

POLLING Adding or changing documents in memory If there is already a document in memory when you scan a document for memory polling, a screen appears after step 3 on the previous page that allows you to add the new document or replace the old document with the new document.

Normally, confidential communication and relay request transmission can only be performed if the other machine is a Sharp machine that supports those functions. However, F-codes as established by the ITU-T can be programmed in the machine to enable confidential communication and relay request transmission with any other machine that supports those F-code functions.

F-CODE COMMUNICATION A document sent by F-code transmission will be sent as a confidential document if the memory box in the receiving machine that matches the specified sub-address and passcode is an F-code confidential box. If the memory box in the receiving machine that matches the specified sub-address and passcode is an F-code relay group box, the receiving machine will receive the F-code transmission data as a relay machine and in turn send the transmitted document to each of the end receiving machines in the relay group.
F-CODE COMMUNICATION Press the START key. Note If you used a rapid dialing or Speed Dial number in Step 4 that has an F-code (sub-address and passcode) programmed, the programmed sub-address and passcode will respectively appear in steps 5 and 6. If each is correct, press the OK key and proceed to the next step. F-code Confidential Transmission When you send a document by F-code confidential transmission, the document is received to the memory (the F-code confidential box) of the receiving machine.
F-CODE COMMUNICATION Printing a fax received by F-code confidential reception When a confidential fax has been received, the confidential reception icon appears in the display. DUAL ACCESS This function is used to store a transmission job while fax reception or memory transmission is in progress. When the previous job is completed, the stored job is automatically performed. DUAL ACCESS Storing a Transmission Job The procedure for storing a transmission job varies depending on the type of transmission. Each storing procedure is the same as the normal procedure for the function. Refer to the explanation of the function. The only difference is that the original is scanned into memory. Up to 50 jobs can be stored.
CHAIN DIALING Chain dialing allows you to add dialing sequences together, including auto dial numbers. For example, you can store an access code for a service that offers a better rate during a certain time period, during certain days, or for certain destinations, in an auto dial number, and then dial the auto dial number followed by the number of the destination to conveniently take advantage of the better rate.

ANTI JUNK FAX When the Anti Junk Fax function is turned on and the machine is set to auto reception, the machine answers the call when a fax comes in, checks the fax number that the sending machine sends to identify itself, and if that number matches one of your machine's stored anti junk fax numbers, breaks the connection without receiving the fax.
Chapter 4 CONVENIENT FUNCTIONS 2 CONVENIENT METHODS OF USE This chapter explains functions that expand the scope of use of the fax machine, including convenient transmission functions and connecting an extension phone. Please read those sections that are of interest to you. Page DUPLEX SCANNING .
DUPLEX SCANNING If you have installed the optional RSPF, you can continuously scan both sides of an original. This function cannot be used in direct transmission mode. Change to memory transmission mode before performing duplex scanning. (See page 32) Duplex scanning is only possible when the RSPF is used. Duplex scanning is not possible when the original is placed on the platen glass.
PAGE DIVISION SCANNING The left and right sides of an original can be scanned separately in succession. This function is useful when you wish to scan the pages of an open book one page at a time in order. Page division scanning can only be used when you scan the original from the platen glass. The order of scanning is right (of platen glass) to left.

INDEX This function prints a black separator mark (index) at the top of received fax pages. The position of the mark is shifted with each fax reception, allowing you to easily distinguish where one fax reception ends and another begins. Turn this function on with the key operator program before receiving faxes.
EXTENSION PHONE CONNECTION You can connect an extension telephone phone to the machine. Connecting an extension phone will allow you to place and receive voice calls. You can also activate fax transmission and reception (remote operation) from an extension phone. Important Do not connect anything other than an extension phone.
Important Use an extension phone that has a modular jack. If the phone cord has a special type of plug, consult your dealer or nearest Sharp customer assistance center. Connect the cord of your extension phone to the TEL jack on the machine.

JOB/FUNCTION CHECK Checking the Status of Transmission (Transmission Job Status) You can check the job currently being transmitted. In the case of broadcast transmission, the number of remaining destinations is displayed. Transmissions in recall mode or which were prevented by a line error are not included in the number of remaining destinations.
JOB/FUNCTION CHECK Checking the Status of Stored Transmission Jobs (Transmission Reserve status) You can check the status of stored transmission jobs (jobs scanned into memory and waiting to be sent, jobs in recall mode, etc.). After checking a job, you can also cancel it. Up to 50 transmission jobs can be stored, including memory transmission jobs, timer transmission jobs, and jobs in recall mode.
JOB/FUNCTION CHECK Notes Even when the transmission time for a stored transmission job arrives, transmission of the job does not begin while you are checking the job status. Transmission resumes when you exit the transmission job status screen. The number of stored jobs only gives you a general idea of the order of stored jobs. To cancel a stored transmission job, follow these steps: (1) Select the job you wish to cancel in step 3 and then press the CLEAR key.
